AKU-TIHE invites applications for the following position, based in Arusha, Tanzania:
Senior Administrative Officer
The Senior Administrative Officer will work closely with the Director of Construction to provide effective administrative support to the Facilities Planning team in Tanzania and coordinate and facilitate all administrative aspects of the team including, as a priority, document and consultant management, meeting logistics and internal/external communication, and scheduling, and, as a support to existing resources in office management, travel, accommodation and transport arrangements.
Your responsibilities being;
• Maintain all documents and information management
• Organizing meetings chaired by members of the Facilities Planning team
• Facilitating Internal and external communication
• Priorities work in order of importance, deadlines etc
• At times work extra hours to meet deadlines
• Ensure that the design and construction of the Arusha campus is well coordinated – provide support to all team members including following up on action items, reviewing reports and other deliverables, archiving documents, and maintaining order in the project files.
• Quickly determine whether a deliverable is appropriate given the action item defining it, file it appropriately, and ensure that any follow up is handled in good time
• Support with travel and accommodation (Local and international)
• Support with team reimbursements
• Support with requisition of stock items and stationery
• Support with requisition of stock items and stationery
• Support with petty cash management
• Support with organizing activities in the Facilities Planning office
Skills, Qualifications and Experience
• Degree in Secretarial/Office Management required; bachelor’s degree preferred.
• At least 5 years work experience in a senior administrative/coordination role
• Computer literacy is mandatory with experience of applicable software programs including all parts of Microsoft Office; willingness to train to become administrator for the office’s document management system
• Fluency in English and Kiswahili required
• Strong interpersonal and public relations skills
• Ability to relate well with internal and external staff
• Superior organizational and management ability
• Demonstrated initiative. Ability to set priorities and work effectively with minimum supervisior
• Act as a role model for other administrative staff in the institution.
• Promote personal and professional development
• Able to work flexible/long hours if and when required
• Strong written and verbal communication skills
